Aspiracon (trading as Aspira) is committed to protecting your privacy. The purpose of this statement is to set out how we deal with any personal data we collect from and about you, or that you provide to us and how this data will be processed by us. This statement is being provided to you in line with our obligations under the General Data Protection Regulation (GDPR).

Who we are:

Aspira Consulting and IT Solutions is an Irish IT Professional Services Provider, with offices in Cork, Dublin, and Amsterdam. Aspira provides a full range of IT services and support, project management, programme management, business analysis, software development, and training services, amongst others.

What information do we collect and how do we process it?

We will collect and process the following data about you:

1. Information you give us:

This is information about you that you give us by corresponding with us by phone, e-mail, through our website, at events which we have attended or otherwise. It includes the information you supply us with when you engage us to provide services from any of our lines of business. The information you give us may include, but is not limited to, your name, home or work address, e-mail address, phone number, or other identification documents, etc.

2. Information we collect about you

We might also obtain personal data about you from other sources such as public registers, government, and regulatory authorities, etc. A user can access our website and view a range of content without providing any information at all. However, all users who wish to enquire or book a training course or an event must provide basic contact information. Also, anyone applying for a specific role or enquiring about a role must provide basic contact information.

You are not obliged to provide us with your personal information. However, if you do not, we might not be able to carry out the services you have requested of us.

Aspira may also collect anonymous demographic information, which is not unique to you, such as your ZIP code, age, preferences, interests, and favorites.
There is also information about your computer hardware and software that is automatically collected by Aspira. This information can include your IP address, browser type, domain names, access times, and referring Web site addresses. This information is used by Aspira for the operation of the service, to maintain the quality of the service, and to provide general statistics regarding the use of the Aspira Website.

The purposes and legal basis for processing your data

We process your data in order to comply with legal obligations to which we are subject, to perform the services you have requested of us, or to take steps at your request prior to undertaking to provide services for you. We do this because you have consented to our processing of your data or for the purposes of our legitimate interests, such as to inform you of changes to our services or to provide you with information about other services we offer. We use personal information for fulfilling our obligations related to contracts and agreements with customers, partners, and suppliers.

We gather and use your information to:

Do we share your data with anyone?

We may share your information with our clients and customers of Aspira in connection with services that these individuals or entities require from us. We will not disclose a user’s personally identifiable information to any third party without the user’s express permission and it will be for supplying the service for which the user has registered. We may also disclose or share your data in order to comply with any legal obligation or in order to enforce or apply our General Terms and Conditions.

Our business is restricted from using your data in any way other than to provide services for Aspira or services for the collaboration in which you and Aspira are engaged, to perform the services you have requested of us, or to take steps at your request prior to undertaking to provide services for you.

We also require that all of our clients, customers, or third parties observe security and privacy obligations to the same standards as those set forth in this privacy statement.

Security

The organisation has appropriate security measures in place to protect against unauthorised access. These security measures include Aspira’s anti-spyware, anti-virus, and other host protection systems. Appropriate technical and organisational measures shall be taken against unauthorised or unlawful collection and processing of data and against accidental loss or destruction of, or damage to data, including but not limited to password protection and encryption.  Aspira has a firewall, which prevents external, potentially malicious intruders from accessing the network, and the resources within. Aspira has established a secure network that is regularly monitored and kept up-to-date for all security issues. This secure network protects its system from attack and misuse. Some of the mechanisms used to ensure this include tracking and monitoring all access to network resources and data; regularly testing security systems and processes; regular security audits and penetration tests for all systems, networks, and processes.

Aspira has security protocols in place from the point of collection, the transmission of data and to the final destination/ facility where the data will be stored. All data is housed in a secure facility with appropriate access controls and audit trails.

Aspira secures your personal information from unauthorised access, use, or disclosure. Aspira secures the personally identifiable information you provide on computer servers in a controlled, secure environment, protected from unauthorized access, use, or disclosure. When personal information is transmitted to other Web sites, it is protected through the use of encryption, such as the Secure Socket Layer (SSL) protocol.

Unfortunately, no transmission of information by means of the internet, including through e-mail, can be guaranteed to be completely secure. Although we will do our best to protect your personal data, we cannot guarantee the security of your data transmitted to or from us by means of e-mail and any such transmission is at your own risk.

Retention

We store personal data for as long as we find it necessary to fulfill the purpose for which the personal data was collected, while also considering our need to answer your queries or resolve problems, comply with legal requirements under applicable laws, to attend to any legal claims/complainant and for safeguarding purposes.

This means that we may retain your personal data for a reasonable period after your last interaction with us. When the personal data that we have collected is no longer required, we will delete it in a secure manner.

Marketing

We may contact you by email about our services and other events involving Aspira services, which may be of interest to you and to which you have consented or “opted in” to receive. Each time you receive marketing information or a message, you have the option to decline to receive further marketing information from us. Alternatively, at any stage, you can update your preferences by sending us an email to GDPR@aspira.ie with a header that says “Unsubscribe”.

Where we keep your data?

We may store your data in different places. Physical files are stored in our office and our archives. Electronic files are stored on our secure servers and in the cloud. During the course of business, it may be necessary to transfer your data to and store it at, a destination outside of the European Economic Area. Whenever this is necessary, the Organisation will ensure that this data has the same level of protection as it does inside the state.

Where we process your data solely based on your consent, you are entitled to withdraw your consent at any time. This will not affect the lawfulness of our processing before the withdrawal.

Changes to this Privacy Statement

This privacy statement will change from time to time, when this policy changes, we will place an updated version on our website.

How long will we keep it?
Aspira will keep your personal data once an application is received to contest any legal actions taken against the Company by an unsuccessful candidate.
 
Some personal data may be deleted at the request of the applicant and will not be held beyond this time frame.  In such cases, explicit consent will be sought from the Data Subject.
